Automation Workflows That Actually Save Time

One of the things I do a lot as an IT Manager is build automation workflows. Not the flashy “AI will do everything” kind — the practical kind that eliminates the tasks nobody should be doing manually in the first place.
The 80/20 of automation
Most of the value comes from simple stuff. Approval flows, notification routing, data syncing between systems. Nothing revolutionary on its own, but the compound effect of automating dozens of these small processes is massive.
A few examples that work well
New employee onboarding: A single form submission triggers account creation, equipment requests, calendar invites for orientation sessions, and Slack channel additions. What used to take 2-3 hours of manual coordination now takes about 5 minutes of human oversight.
Report distribution: Monthly reports get generated, formatted, and sent to the right people automatically. I built this with Power Automate pulling from SharePoint and pushing to Teams channels. Took an afternoon to set up, saves hours every month.
License management alerts: When software licenses are approaching renewal or user counts are hitting thresholds, the relevant people get notified automatically. No more surprise invoices or scrambling at renewal time.
Where AI fits in
I’ve started layering in AI for things like categorizing support tickets and drafting initial responses. It’s not replacing the human review step, but it’s cutting the time per ticket significantly. The key is keeping humans in the loop while reducing the grunt work.
The best automation is invisible. People just notice that things work better.
